HamRadioList.com ("we," "us," "our," or "the Company") is operated by My Vision Media, located in Nova Scotia, Canada. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit https://hamradiolist.com (the "Service"). Please read this policy carefully. If you do not agree with its terms, please discontinue use of the Service.

1. Information We Collect

Information you provide directly:

• Account registration: callsign, first name, last name, email address, country, and optional address details.
• QSO logbook entries: contact callsigns, dates, frequencies, bands, modes, RST reports, locations, and comments.
• Profile information: biography, grid square, license class, profile photo.
• Communications you send us via contact forms or email.

Information collected automatically:

• IP address, browser type, device type, and operating system.
• Pages visited, time spent on pages, and referring URLs.
• Session data stored in cookies (see Section 5).

Information from third-party sources:

• When you log a QSO, we may query QRZ.com or HamQTH to look up callsign information (name, country, email). This is a read-only lookup used solely to pre-populate logbook fields and send QSL Card emails to your contacts.
• We do not purchase, sell, or trade data obtained from QRZ.com or HamQTH.

2. How We Use Your Information

• To create and manage your account and logbook.
• To generate and display digital QSL Cards for your QSO contacts.
• To send transactional emails (QSL Card delivery, account confirmation, password reset).
• To send marketing emails only with your explicit consent or as permitted by applicable law (CASL/CAN-SPAM/GDPR).
• To improve the Service, diagnose technical issues, and analyze usage trends.
• To comply with legal obligations.
• To prevent fraud and enforce our Terms of Service.

3. Email Communications

We send two categories of email:

• Transactional emails: QSL Card confirmations, password resets, and account notices. These are essential to the Service and cannot be opted out of while you maintain an account.
• Marketing / community emails: Weekly digests, operator spotlights, new features, and invitations. You may unsubscribe from these at any time via the "Unsubscribe" link in any such email or by contacting us.

DX Station Emails: If a HamRadioList.com user logs a QSO with your callsign and your email is available via QRZ.com, we may send you a QSL Card email and, 72 hours later, an invitation to join HamRadioList.com. Every such email includes a one-click unsubscribe link. We will not email you again once you unsubscribe.

4. Third-Party Services

We use the following third-party services which may process your data:

• QRZ.com / HamQTH: Callsign lookup API (read-only). Subject to their respective privacy policies.
• SMTP email provider: Used to send all outbound email on our behalf.
• Google Analytics (if enabled): Anonymized usage statistics. You may opt out via the Google Analytics Opt-out Browser Add-on.
• Square: Payment processing for donations. We do not store credit card information. Subject to Square's Privacy Policy.

We do not sell, rent, or trade your personal information to any third party for marketing purposes.

5. Cookies & Tracking Technologies

We use cookies and similar technologies to:

• Keep you logged in (session cookies — deleted when you close your browser).
• Remember your preferences (persistent cookies — expire after 30 days).
• Analyze traffic patterns (analytics cookies).

You may disable cookies in your browser settings; however, some features of the Service (including login) will not function without them.

6. Data Security

We implement appropriate technical and organizational measures to protect your personal information, including:

• HTTPS/TLS encryption for all data in transit.
• Bcrypt hashing of all passwords.
• Access controls limiting database access to authorized personnel only.
• Regular security reviews.

No method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. If you request deletion of your account, we will delete or anonymize your personal data within 30 days, except where we are required to retain it by law (e.g., financial records).

QSL Card images that have been shared publicly and indexed by search engines may remain in search engine caches independently of our deletion.

8. Your Rights

You have the right to:

• Access the personal data we hold about you.
• Correct inaccurate or incomplete data via your account settings.
• Delete your account and personal data by contacting us.
• Withdraw consent for marketing emails at any time.
• Data portability: Export your QSO logbook in ADIF format at any time from your dashboard.

9. GDPR — EU & UK Residents

If you are located in the European Union or United Kingdom, you have additional rights under the General Data Protection Regulation (GDPR) and UK GDPR:

• Legal basis for processing: We process your data based on (a) performance of a contract (your account), (b) legitimate interests (preventing fraud, improving the Service), and (c) your consent (marketing emails).
• Right to object: You may object to processing based on legitimate interests at any time.
• Right to restriction: You may request we restrict processing of your data in certain circumstances.
• Right to lodge a complaint with your national data protection authority.

Our servers are located in the United States. By using the Service from the EU/UK, you consent to the transfer of your data to the US, which may have different data protection laws.

10. CASL — Canadian Residents

We comply with Canada's Anti-Spam Legislation (CASL). We will only send commercial electronic messages (CEMs) to Canadian residents with express or implied consent. Every CEM includes:

• Our identity and contact information.
• A clear and functional unsubscribe mechanism.

Unsubscribe requests are processed within 10 business days.

11. CAN-SPAM — US Residents

In compliance with the CAN-SPAM Act, all marketing emails we send:

• Identify the message as an advertisement where required.

• Include a clear and conspicuous unsubscribe link.
